SquadDesk

For volunteer squads, private services and fire-based EMS

Off the clipboard. On every crew's phone.

SquadDesk keeps every member's certifications and CE hours current, turns the daily truck check into a two-minute phone checklist, and fills the schedule without a group-text scramble.

One price for the agency plus a small amount per user. Unlimited units.

Everything the back office needs, one place

Certifications and CE

Each member's cards and expiration dates, with warnings 30, 60 or 90 days out. CE hours roll up against each certification. Export the roster for audits in one click.

Rig checks and inventory

Your checklist, your par levels. Crews count from their phone; anything short, expired or expiring within 30 days becomes an issue until it's restocked.

Shift schedule

Post shifts, repeat them weekly, and let members sign up for open seats. Unfilled seats stand out so you can fix gaps before the tones drop.

Grant finder

Live federal fire and EMS grants from Grants.gov, the programs agencies like yours apply for most, deadline tracking, and application drafts prefilled with your agency's details.

Time clock and time off

Members clock in and out from their phone. Officers fix missed punches, with every change logged, and export hours by pay period. Time-off requests get approved in one tap and show on the calendar.

Trade board and approvals

Can't make a shift? Post it for trade. Every pick-up, drop, trade and time-off request lands in one approvals queue, so officers always know who's covering.

Equipment checkout

Radios, pagers, keys and loaner gear signed out by name with due dates. Overdue items stand out, and anything returned damaged opens a repair ticket.

Members and recruiting

Every member's profile, emergency contact, certs and gear in one place, plus a recruiting pipeline that turns open-house leads into members.

Help desk

Broken latch, dead pager, door code not working: members open a ticket from their phone and see when it's fixed.

Built by someone who's done the job

Designed around how squads actually run: volunteer rosters, overnight crews, and the truck check nobody wants to do on paper.

Works on any phone

Nothing to install. Members sign in from the browser on whatever phone or computer they already have.

Your data stays yours

Members see their own records; officers see the roster. Export everything to a spreadsheet anytime.

Pricing

A flat agency fee plus a price per user, billed monthly. Unlimited units, email and text paging on every plan.

Questions

Does SquadDesk know my state's certification rules?

You set them. Each agency chooses which certifications are required, how many CE hours each needs per period, and how far ahead to warn. Check your state EMS office's current requirements when you set it up.

Does it replace our patient care reporting software?

No. SquadDesk handles the back office: people, trucks and the schedule. It never stores patient information.

How do members get access?

An officer adds each member with a temporary password. Members sign in from any browser and change it themselves.

Can we move our existing roster in?

Add members from the Members page. For large rosters, contact us and we'll help import your spreadsheet.

Can we cancel anytime?

Yes. Cancel from the billing page and you keep your plan until the end of the period you paid for. There's no long-term contract.
